The Credit Collections and Accounts Receivable Analyst will be responsible to manage professionally on a daily basis all internal and external customers’ accounting communications, ensure timely and accurate customer records management while providing assistance to the Accounting Manager and to the CFO as required.

Principal Accountabilities:

30% Internal Credit Management

  • Obtain incoming cheques from receptionist and sign “Cheque Received Log Book”.

  • Record deposits in Cash Receipts/Deposit Summary and Cash Receipts sheets.

  • Deposit cheques via ChequePro or make up deposit slips and drop off deposits at bank.

  • Post Cash Receipts sheets.

  • Process MasterCard and Visa payments, record on Cash Receipts sheets and Post in system.

  • Review open orders and release orders on hold.

  • Follow-up with customers that have outstanding balances before releasing orders for shipment.

  • Prepare detailed weekly Credit Report from A/R Aging providing analysis and commentary on overdue balances.

  • Follow up on issues as assigned from the CFO / Accounting Manager.

  • As necessary, fax or Email invoices/statements to customers.

  • Maintain an accurate hardcopy filing system of invoices with supporting documentation.

20 % Price Verification

  • Review detailed complex customer sales transactions to ensure the customer receives “right the first time” invoices daily.

18% Customer Contact/Relations

  • Credit Applications – trade references (Fax or email), obtain DNBI Credit Report, internet search, liaison with sales personnel, and review the credit requests with supporting documentation to provide a recommendation on credit limit and terms.

  • Review new accounts that have been set-up by customer service.

  • Maintain an accurate customer master file.

  • Review/Update Master Customer Credit Limit Report.

  • Provide recommendations for changes in credit limits and/or terms with explanations.

  • Ensure company credit policies, contracts and decisions are followed.

  • Prepare Proforma invoices and send to customers as needed

  • Receive calls regarding customer account inquiries

  • Follow up on issues as assigned from the CFO or the Accounting Manager.

15% Collections

  • Handle all customer account inquiries and initiate tactful written and verbal communication with customers on tardy balances outstanding.

  • Maintain a communications log with all customers and appropriately manage customer.

10 % Other Duties

  • Bank Reconciliation (USD/CAD Accounts)

  • Compute and communicate daily bank balances with outstanding transactions pending and verify daily the authenticity of each cheque cashed.

  • Prepare bank related journal entries

  • Prepare manual Invoices in Word for Letter of Credit customers, as necessary.

  • Monthly Credit Insurance calculation and documentation

7% HQ Communications

  • Credit report preparation and comments

  • Credit SharePoint

  • WLA updates

Qualifications

Minimum Required

  • High School diploma or equivalent or certifications in the field

  • 2 years’ experience in accounting or finance

  • Proficiency with MS Office Excel (intermediate)

  • Basic customer service experience

  • Team player willing to put others ahead of their own personal interests.

  • Clearly and professionally with tact communicate frequently in English with customers as required developing positive working relationships with sometimes some difficult people.

  • Demonstrated excellent understanding of accounting procedures and documentation techniques.

  • Ability to process large volumes of detailed data quickly with a very high accuracy rate.

  • Willing attitude and flexible mindedness to accomplish what is necessary in this role or in support of others in the accounting department.

  • Previously worked in detail within an ERP accounting system, preferably in account receivables or wider scope of responsibility role.

  • Must be legally entitled to work for Cargill in Canada

Preferred

  • Bachelor’s degree in accounting or finance or related field

  • Knowledge of M3 ERP system

  • 2 years’ experience in credit and collections.
