Position Purpose

This position provides executive level administrative support to the Global Supply Chain Planning team and some interim support to the BOSC HR Leader. This role is responsible for providing the appropriate first impression and representation of these leaders and the functions to internal businesses and other functions as well as to the external market. This position assists with daily workflow management for the leaders including heavy email management, complex scheduling and calendar management, large meeting planning and support, pro-active response management, domestic and international travel arrangements, providing phone coverage, and other administrative duties as requested. This position plays an important role in representing the Supply Chain Planning leadership team through a high level of professionalism in executive administration, organizational, technical, and communication skills. The person in this position must be highly organized, a self-starter with strong initiative, ability to be proactive, strong follow through skills, and will appropriately handle confidential materials and information.

This position will also support the leader of the BOSC Strategy and Transformation Office which entails the 2-3 year build out of the entire BOSC Organization with Cargill.

Principal Accountabilities

45% - Administrative Support - First point of contact for the Supply Chain Planning leadership team, demonstrating a high degree of professionalism. Role has access to highly confidential information and manages inquiries and exercises discretion as required.

-Strong calendar management for the leaders who have a very active calendar and schedule. Providing the necessary support to manage requests, appointments, deliverables in person as well as virtually.

-Make international travel arrangements, arrange for visas, document management and handle expense reports with insight on the cost of potential options.

-Work collaboratively with other administrative assistants within Cargill and BOSC.

-Provides back up support to other administrative roles within BOSC.

15% - Communications Support - Manage e-mail and assist in the development of leadership communications, including both internal and external correspondence, PowerPoint presentations and spreadsheets using Excel. Coordinate webinars, Skype for Business meetings. Keep current on technologies and be proactive to introduce new tools. Stay on top of best practices in utilizing technology to run efficient and cost effective meetings.

15% - Global & Regional Event and Meeting Management – Support in the Planning and Administration of global and regional Supply Chain Planning and TMO meetings focused on connecting and aligning key BOSC and SCP leaders from around the global and within each region to ensure a more consistent implantation of processes and structures.

15% - Supporting the Build Out of the SCP Function and Strategy & TMO – working the the leadership team to establish and then maintain the ongoing interactions with the businesses we serve including other projects related to building out the function and TMO including establishing lines of communications with appropriate leaders and support staffs within the enterprises/groups, to enable information collection, data analysis and reporting, and consolidation of regional and enterprise/group reports

10% - Other duties as assigned.

Qualifications

Required

  • High school degree or GED equivalent

  • Minimum 2 year technical degree in administrative management or equivalent work experiences in this area.

  • 5 years senior level administrative experience, supporting senior leadership. (Corporate or business leadership)

  • Ability to adjust work hours as needed.

  • Strong MS Office - specifically strong in Outlook, Word, Excel, PowerPoint, SharePoint and other collaboration tool experience.

  • Ability to travel internationally 5% (for large meeting management)

  • Ability to manage international travel arrangements

  • Effective time management and organizational skills.

  • Excellent verbal and written communication skills that demonstrates a high level of professionalism and awareness of cultural and regional differences.

  • Strong organization skills and the ability to manage multiple priorities and deadlines.

  • Ability to manage frequent calendar, schedule, and travel changes with a high degree of efficiency and professionalism.

Preferred

  • Bachelor’s Degree.

  • Previous experience with international meeting and travel requirements and arrangements.

  • Previous experience providing administrative support to international managers or leaders.
