Position Purpose

The Administrative Assistant position is essential for providing dynamic client support to all Canadian GEOS Specialties employees. This position plays a key role in admin process execution and marketing/sales customer events and organization by being a central contact and coordinator. The Admin Assistant supports the accounting team as the main processor for Canadian Procure to Pay (PRTP) transactions to ensure timely vendor payments.

Principal Accountabilities

40% Facility Misc.

  • 1st point of contact for shipments, deliveries, contractors and guests to ensure secure access

  • Support Marketing/Sales team on customer events coordination

  • Facility Events: coordinate/organize internal & external guests

  • Facility office supply & inventory mgmt

  • Site IT contact: contact for tech hardware, network issues, etc

  • Coordinates weekly facility staff meetings

35% Administrative

  • Employee support includes supporting and responding to all requests including set-ups & payroll support

  • Support functions with data entry for policies, procedures and training

  • Records Information Mgmt Coordinator

  • Clean Desk program: ensure execution and reporting

  • Daily employee support and misc activities

  • Support Aberdeen facility budget development and manage costs for assigned parts of the budget

25% Financial

  • SAP

o PRTP Support: PO creation, Receive goods/services, Variances, Exceptions

o Vendor Relations: timely payments, work closely with CSSP

  • Cdn P-card (Visa) Administrator

o Process new requestes, cancellations, Works profiles, receipt mgmt


Required Qualifications

  • Minimum 2 years administrative experience

  • Proficiency in MS Office

  • Excellent communication skills

  • Strong organizational skills, ability to prioritize, manage workload variation, attention to detail and follow-up

  • Leadership skills

  • Must be legally entitled to work for Cargill in Canada

Preferred Qualifications

  • Diploma in Business Administration

  • Experience in accounting systems such as SAP

  • Self starter
