Position Purpose

This position has responsibility for general administrative, human resources, and maintenance support activities at the Chicago CIS Plant.

Principal Accountabilities

70%Administrative - Administrative duties as assigned including local I/T admin, monthly OEE report generation, SAP production entry, service entry receipts, tracking/processing approvals for invoices, tracking/ordering operations and office supplies, coordinating meetings & events, greeting visitors, and other duties as assigned.

20% Maintenance Support - Responsible maintaining maintenance data in SAP, including Preventative Maintenance plans and work orders. Responsible for creating and maintaining the SAP and hard copy Asset Equipment files which include register of assets, EHS binders, equipment specifications, drawings, parts lists, spare parts database and inventory, inspection histories management and vendor information.

10% Human Resources – Provide Human Resources support including but not limited to: recruitment coordination, new hire onboarding, Kronos, AAP outreach efforts, confidential records management, and other duties as assigned.


Required Qualifications


  • High school diploma or GED


  • 2 years of experience administrative support experience

  • Experience working with an Enterprise Resource Planning System


  • Proficient in Microsoft Word, Excel and outlook

  • Ability to work independently and as a team player

  • Strong sense of urgency – ability to meet deadlines

  • Excellent organizational skills, including priority setting and multi-tasking

  • Strong interpersonal skills with the ability to work with a variety of individuals, both internal and external

  • Demonstrate ability to be flexible and adapt to an ever-changing work environment

  • Strong attention to detail and follow-up

  • Strong decision making and problem solving skills

  • Excellent grammar and written communication skills

  • Must have strong initiative with the ability to be proactive and self-supportive

  • Experience in supporting multiple managers

  • Ability to handle confidential information and ensure confidential information is secured (verbally, written, email, paper, other)

Preferred Qualifications


  • Completion of college level work


  • SAP experience

  • 5 years of experience in maintenance and reliability support

  • 5 years of experience in buying/purchasing plant materials and services

  • Past Maintenance Department experience that utilized condition based monitoring of equipment
