Strategic Sourcing & Procurement is a global organization with regional category teams in North America, Europe, Latin America, and Asia Pacific that, along with a strong core team and procurement alignment, is implementing new sourcing strategies to support Cargill businesses and functions. Strategic Sourcing & Procurement employees gain broad exposure to Cargill businesses as they drive tangible value for the organization.

This position will create and maintain contract data in the Cargill ERP Procurement systems. The Specialist will interact with internal partners in Strategic Sourcing and the Business Units as well as external suppliers as needed. He/she needs to acquire a good understanding of Cargill Strategic Sourcing & Procurement (CSSP) to ensure compliance with appropriate guidelines.

Responsibilities will include: creating and maintaining contracts, source lists, and records associated with contracts; receiving and entering contract data and maintaining legal agreements and supporting documentation. This includes routine contract/agreement administrative work steps for one or more sourcing categories and/or locations, executing procurement transaction processes and managing procurement records, managing master data records, providing location procurement support and planning and managing supplier events and relationships.

Principal Accountabilities

50% Create and maintain procurement contracts and contract records:

  • Create/update & maintain strategic and tactical operational contracts for goods and services at the request of the Procurement Buyers / (sub) Category Leads

  • Enter contract header and contract item data

  • Ensure consistent system contract implementation of EMEA/Regional/Country agreements: responsible for creating and maintaining records associated with legal contract agreements and supporting documentation

  • Solve Non Conformities related to agreement conditions in Invoicing & Auto-reorder Orders involving Procurement Buyers/(Sub) Category Leads/internal stakeholders and external suppliers as appropriate

  • Update contract items, pricing, terms & conditions as appropriate in the ERP systems (e.g. Maximo, SAP, JDE Aforce)

20% Provide procurement support & planning and manage procurement records:

  • Identify, develop measures and assist in implementation of these measures to improve contract administration quality, efficiency and productivity

  • Perform administrative activities such as storing of contracts, downloading of pricelists, etcetera

15% Managing master data records:

  • Assist Procurement Buyers & (Sub) Category leads with data entry rules for entering new data element templates

  • Manage item creation request for the creation of new operational contracts:

  • Create materials or service items in inventory based on information given by category leads/maintenance

  • Conduct mass uploads of materials and service items as needed in conjunction with specific projects

  • Ensure contract and item data are made to make sure requirements are met on both sides

  • Make protocols strictly adhered to and all requirements met when creating new items

  • Assist the conversion of item data from material & service groups to class structure in collaboration with data lead

5% Contract reviews:

  • Identify and Perform appropriate compliance reviews

  • Perform reviews of purchase order pricing, payment terms, and invoicing to ensure compliance to legal agreement.

5% Assist in contracting project work and Customer Service/ Partner Collaboration:

  • Work with CSSP and new BU’s to Identify new strategic and tactical contracts and contract extensions as part of the BU pre-go live activities

  • Responsible for downloading contract report to support CSSP in setting up strategy sourcing events.

  • Work with BU PO Processing teams to identify and establish new tactical contracting opportunities

  • Follow up on notifications when no action is taken by sourcing managers in agreed time frame

5% Manage supplier events & relationships:

  • Prepare and send inquiries to suppliers

  • Prepare and distribute bid tabulation to develop contracts

  • Collate, analyze and report procurement data to support the (sub) category supply strategies

Qualifications

Required Qualifications

  • 3-year Bachelor Degree in Commerce, Business Administration, Accounting or other business related field

  • Minimum 3 years of related business experience in an administrative type of role, ideally in procurement

  • Proficient in computer skills including Windows (Outlook, Excel, Word, Powerpoint)

  • Intermediate 10 Key data entry skills

  • Detail oriented, strong organizational and time management skills

  • Strong administrative, internet search and filing skills

  • Effective inter-personal skills in dealing with different levels and departments within the company

  • Customer service oriented

  • Able to adapt to change and learn quickly

  • Fluent in English, both verbal and in writing

Preferred Qualifications

  • Experience in accounting or purchasing

  • Experience with Maximo, SAP, or other relevant ERP Systems

  • Experience with Ariba CLM, P2O or Equivalent

  • Basic understanding of procurement requirements and standards

  • Ability to manage and prioritize multiple demands simultaneously

  • Problem-solving skills with an ability to identify and resolve problems in a timely manner

  • Strong sense of ownership and follow-through
