Description

This position provides administrative support to multiple senior leaders within Cargill’s Corporate Affairs function as well as promotes effective onboarding and support of new Cargill employees. This position assists with daily workflow management for these leaders including heavy email management, complex scheduling and calendar management, expense report management, global travel arrangements and other administrative duties as requested. This is a fast-paced working environment that requires the ability to multitask with attention to detail and excellent organizational skills.

Principal Accountabilities

80% - Administrative Support Under general supervision, the person in this position will be expected to provide their knowledge of the Corporate Affairs department, infrastructure, operations and procedures to perform administrative processes for the Corporate Responsibility, Masterbrand and State Government Relations Vice Presidents. Primary responsibilities include:

  • Proactive calendar management, coordination of travel (both domestic and international) and preparation of expense reports.

  • Obtains necessary paperwork for traveling (i.e., visas, tickets, lodging etc.). Coordinates all aspects of meetings and events.

  • Interact with individuals at all levels of the organization, supporting in an office management capacity and supporting the Corporate Affairs communications team as a point of contact for onboarding vendors and new employees.

  • Schedule and set-up resources and technology needed for meetings and events, e.g., conference rooms, catering, Skype, telepresence.

  • Compile and/or integrate information needed to complete reports and documents.

  • Review documents to ensure accuracy, quality, and revise as needed.

  • Manage office documents in accordance with enterprise records management procedures.

  • Answer incoming calls and facilitate handling of requests for information.

  • Evaluate calls in terms of importance, prioritize responses, and use independent judgment to act.

  • Make meeting arrangements and coordinate changes in meeting schedules.

  • Independently perform varied administrative duties related to the communications practice area.

  • Maintain and order office supplies for the department.

  • Greet visiting clients, guests and employees.

  • Read incoming mail and triage in priority order, highlighting important items or requests for action.

  • In partnership with other Administrative staff, ensure a superior office organization – materials/supply management, a professional work environment, and superior situational awareness of future activities.

  • Identify and implement operational improvements/efficiencies that reflect staff needs and organizational best practices.

20% - Communications Support & Other Duties/Projects as Assigned

  • Assist in the development of PowerPoint presentations and Excel spreadsheets.

  • Have a working knowledge of One Note, One Drive and other collaboration tools.

  • Coordinate webinars, Skype for Business meetings and possess the technical knowledge to troubleshoot issues for the executives and on behalf of the Corporate Affairs job family. The person in this role must stay current on technologies, be proactive in introducing new tools, stay on top of best practices and actively participate in professional organizations for Executive Assistants.

Qualifications

Required

  • High school diploma.

  • 2 or more years relevant experience.

  • Excellent verbal and written communication skills that demonstrates a high level of professionalism.

  • Strong organization skills and the ability to manage multiple priorities and deadlines.

  • Ability to manage frequent calendar, schedule, and travel changes with a high degree of efficiency and professionalism.

  • Ability to adjust work hours as needed.

  • Ability to remain calm during times of stress.

  • Strong sense of urgency.

  • Desire for continuous process improvement.

  • Ability to work independently but also a strong team player, willing to help when and where needed.

  • Strong MS Office experience – specifically strong in Outlook, Word, Excel, PowerPoint, One Note and One Drive.

  • Strong knowledge and effective use of web-based tools – Skype, WebEx, etc.

  • Demonstrated track record of providing pro-active solutions.

Preferred

  • Bachelor’s degree

  • Previous experience with corporate diligincies.

  • Previous experience with international travel requirements and arrangements.

  • Previous experience providing administrative support to international managers or leaders.

  • Previous experience in a global business.

  • Experience with foundations and corporate giving
